WE NEED YOUR HELP.

As the saying goes, many hands make light work, and that is truly the case with The Gavers Community Cancer Foundation, and BARNDANCE. We rely heavily on our great team of over 150 volunteers to make BARNDANCE a reality. Our volunteer kickoff meeting was held on April 22nd at the Stage Left Café on the Square in Woodstock. We have one additional meeting for our volunteers, Monday July 15th at 7:00pm., also at Stage Left Café, the week of BARNDANCE.

We cannot put on this event without the tremendous support of the community, and are grateful for your continued support of BARNDANCE.

We have many volunteer opportunities available. Please choose the area you would like to assist with and complete the form below. You will be contacted by a volunteer coordinator or via e-mail prior to the BARNDANCE.

The following volunteer opportunities are available:

  • NEW FOR 2013 / Sweet Corn
    1 hour or 1 1/2 hour shifts
    First shift will help get the sweet corn going in the roaster
    2nd & 3rd shifts will handle sales, peel the corn or add the butter

  • Invite Envelope Stuffing / Wednesday, May 15, 6:00 p.m., American Graphic Works, 2207 Dean Street, Woodstock

  • Corporate Table Sponsorship Solicitation
    We need a few people who would be willing to follow-up with corporate sponsors or seek brand new sponsors.

  • Website Content Provider
    We are looking for a few volunteers who will generate content for our website. The web developer will design all the pages

  • Poster Distribution
    Put poster up by June 1 at community you signed up for
    Posters can be picked up at Indepth Graphics and Printing after May 16

  • Live Auction Program Write-Up
    We need a few people to help write creative live auction descriptions to enhance the sale of the item. You will have to do a little research about items and write away. This is done Monday-Wednesday prior to Barndance

  • Live Auction Posters
    We need graphic designers to create posters based off of descriptions. Mac-base a plus.

  • Corporate Gift Assembly - 2 hours
    Date and time TBD.
    We need help packaging all the corporate gift bags. This typically takes 1 to 2 hours. Depending on the gift, it might be done the Thursday prior to Barndance or else Saturday morning of Barndance.

  • Event & Decoration Set-Up
    Saturday, July 20, beginning at 9 a.m. at the tent
    Typically it takes 2 to 3 hours

  • Parking
    Helping direct vehicles from 4:30-7:00 p.m.
    Parking Chairman will contact you prior to July 14

  • Check-In
    1 1/2 hour shifts
    There are four time slots, 4:30-6:00 p.m., 6:00-7:30 p.m., 7:30-9:00 p.m., 9:00-10:00 p.m.

  • Wristbands
    1 1/2 hour shifts
    There are four time slots, 4:30-6:00 p.m., 6:00-7:30 p.m., 7:30-9:00 p.m., 9:00-10:00 p.m.

  • Ticket Sales & Will Call
    1 1/2 hour shifts
    There are four time slots, 4:30-6:00 p.m., 6:00-7:30 p.m., 7:30-9:00 p.m., 9:00-10:00 p.m.

  • Mystery Box Sales
    1 1/2 hour shifts
    There are two time slots, 4:45-6:30 p.m., 6:30-8:00 p.m.

  • 50/50 Ticket Sales
    1 1/2 hour shifts
    There are two time slots, 4:45-6:30 p.m., 6:30-8:00 p.m.


  • Drink Tickets & Cups
    1 1/2 hour shifts
    There are five time slots, 4:45-6:30 p.m., 6:30-8:00 p.m., 8:00-9:00 p.m.,
    9:00-10:00 p.m., 10:00-11:00 p.m.
    Please note that 50/50 ticket sales will end at 9:00 p.m.

  • Beer Pouring
    1 hour to 2-hour shifts
    There are five time slots, 4:45-6:30 p.m., 6:30-8:00 p.m., 8:00-9:00 p.m.,
    9:00-10:00 p.m., 10:00-11:00 p.m.

  • Live Auction Spotters
    We need people who are not bashful to seek out bidders

  • Live Auction Runners
    We need people to help run bid sheets to purchaser and then to check out table

  • Clean-Up Saturday Night
    Beginning at midnight, we need the tables to be clear off and garbage picked up

  • Clean-Up Sunday Morning
    We will begin at 9 a.m. It usually takes 2 hours

Volunteers receive a Gavers Barndance t-shirt for wear on the day of the event.

Since every dollar possible is used to support Cancer Awareness and Research, each volunteer is responsible for purchasing their own ticket. Tickets go on sale May 1st, so buy your's early and be prepared!
